Good day friends! Bill from Australia here. Just getting started with a small business of mine that I’ve always wanted to do. But I’ve come across an email automation problem that I can’t answer for the life of me. I’ll try to explain it with a brief example. Imagine you receive the following email: “A client, Arcadia Gallagher, would like to schedule an appointment at 12:30 PM on May 3rd, 2017. Please contact Arcadia Gallagher at arcadia.gallagher520@gmail.com to accept or reject this request at your earliest convenience.” Do any of you know of an email automation solution that allows me to select parts of the email like— “Arcadia Gallagher”, “12:30 PM”, and “May 3rd, 2017”—and turn them into variables? Then, assuming that the email structure above never changes, is it possible to take those variables, plug them into an email response template, and automatically send it to the email address contained in the email above as soon as I receive it? Thanks in advance ladies and gentlemen! Kind regards, Bill Ion. P.S. I am currently using ZOHO Mail, but ZOHO Mail doesn't seem to offer that sort of functionality. If I'm wrong, PLEASE feel free to correct me. At this point, I'm open to anything.

    Described well, but you did not reveal what email client are you using now. As you mentioned small business, is there Outlook/Exchange Server/Lotus Notes/etc. Assuming this is for your business purpose. However more information is needed.

    At the moment, I am using ZOHO Mail. But from what I've seen with ZOHO Mail so far, it doesn't seem like they offer the type of functionality I need. At this point, I'm open to anything.

    P.S. I will edit my question to include ZOHO Mail for future reference.

    Is there no user manual/guide book to operate properly the mail system as you mentioned. If you have contact number(s)/mail ID you can ask the same through their customer care number. For your help, please link here: https://www.zoho.com/mail/help/

    I've already asked the ZOHO Mail team about the functionality I require, but no luck. They don't offer anything of the sort. In fact, no online web solutions appear to offer such functionality. At least, that is what a consultant in the area of escalation engineering told me. So, it looks like I'm going to have to manually email each client that comes my way. Sigh.

    First, is ZOHO only available through a web interface? Or are you allowed to connect with Outlook or Thunderbird or other local e-mail client?

    Technically, it could be done even with a web interface; but it'd be easier if actual e-mail items are available in a local system. Regardless, without a budget, it's very difficult to know how it could/should be approached.

    I'm not at all sure it would be very widely used, so costs couldn't be widely distributed. Very few business persons would accept a solution that sent such automatic replies. The very first missing element is integration with a local calendar.
