How to streamline a sloppy organization……

One of my passions as a development manager is to streamline a sloppy organization and make it more competitive, more service oriented and a better place to work. My job starts at the top with the general manager or if the owner is involved than with the owner. I like to know how the top decision makers in the organization think, what is their vision, what is the goal behind having a business and if their organization is a place where I would like to work.

Most of the organizations that I work with are customer service oriented, they are in a business where if they deliver great customer service, they will get more clients and will have a competitive advantage over their competitions.

After meeting with top decision makers, if I sense that they will use my advice than I will try to create an atmosphere within the organization where:

1- Customer service is number one priority for the organization, basically to deliver excellent on time customer frindely service.
2- Employees are encouraged to develop their skills to be in line not only with local standards but with international standards.
3- The work place is clean, save, comfortable and equipped with the latest technology.
4- Employees are passionate about their work and strive to deliver the best service in the industry and the best employees are always rewarded.
5- Top management is always on the look for brighter ideas to improve service and create a better work place.

The above five points are what I usually work with; many organizations mostly lack one or all the above mentioned points. I have walked into many businesses where the place is not clean or comfortable to work at, or the customer time is not appreciated, or the work force are not will trained, or the management is not willing to change and look into new ideas. These points are real simple to implement but believe me I have talked to many business owners in few different countries and they never thought about it and were surprised to know how such simple steps could really improve their business.

Management tips….use free e-mail accounts for your advantage

I think no one needs to remind us anymore about the importance of data back up. Data loss or not able to access data while you are a way from office or home is major problem faced by millions of workers worldwide. If your job or your life style requires you to travel a lot, you will sleep better at night knowing your data is safe and accessible any time you need it.

Over the years many websites offered online data backup, I have singed up for one or two as far as I can remember, but I wasn’t really comfortable loading my data into someone else’s server if I didn’t know them real well.

So I decided to use free e-mail accounts as a way to back up my data. We are all familiar with Yahoo, MSN and Google free e-mail accounts. These free e-mail accounts are offered by some well known players in the IT field and to keep their customers’ data well protected is number one priority for them.

I have been using yahoo free e-mail, as primary e-mail account and also I have been using it to back up my data using the free storage space they gave me. Many people asked me how come an IT professional doesn’t have his own company e-mail account, I would answer them that with Yahoo I don’t have to worry about my company’s e-mail server being down or my about data was being lost. I am sure companies like Yahoo, MSN, and Google have their own problem with customer data loss or e-mail accounts access issues, but the probability of that is real low.

I e-mail myself as file attachments all the important documents that I want to save or I want immediate access to them when I am away from my home or office, I carry some data with me on USB flash drives, but I also have online backup.
