Hello, Can I enquire what type of maintenance do you action or should action on your mailbox databases. Our databases are 200GB in size and our users love email where sometimes disk space can go quite quickly. We use to schedule 6 – 9 monthly offline defrag, integrity & consistency checks of the databases but due to their size it is getting harder now to action this. We also use Enterprise Vault for email archiving. We get to the point where we have 15GB of disk space remaining so we run an offline defrag or have to extend the drives. We ran a defrag pass across 2 stores at the weekend and got 20GB from each store back – we have also changed the archiving policy from 12 months to 3 months so a lot of space will be due back from this but do we have to run an offline pass or are there 3rd party apps that can do this online? Our mailbox server is an Exchange 2007 Single copy cluster. Can I ask what do you do in these situations? Are there any decent 3rd party tools you use to action this? Do you just throw disk at it? I would appreciate your comments on this. Many Thanks.

I have set mailbox size limits for individual users. I then set default storage limits for the database. Shortly after applying the default limits I got a call telling me that e-mail was being rejected because the receivers mailbox was full. The users mailbox was only half full. When I removed the default quotas this person could receive mail again. I have verified that this user is not exceeding her limits. Here is an example. I set this users limits to Issue warning at 400MB, Prohibit send at 500MB, Prohibit send and receive at 600MB. I then set the default settings to 100, 200 and 300MB respectfully. Shortly after I applied these settings I got the phone call.
Needless to say I am a little nervous about reapplying these setting. Any ideas?

I created (On a separate drive on the same server) a New Group, Store, and moved a couple mailboxes. I did this because my primary drive only has 2.75Gb left. I moved 3 boxes totalling 8Gb. On the new drive, it showed that I now occupy 8Gb of that drive with Exchange data. However, on the old drive, after moving the mailboxes it didn’t increase my size by 8Gb?? The boxes are showing in the new store and likewise the data appears on the new drive…

Any help would be GREATLY appeciated before my server crashes.
