Resource calendars: deleting cancelled meetings?
My company has set up resource calendars in Exchange to manage meetings for our conference rooms. However, whenever someone cancels a meeting, the meeting does not get deleted from the resource calendar. Instead, it just shows as a cancelled meeting. The only way to delete it is to do it manually. Is there a way to make this happen automatically so that users do not have to go in and delete their meetings after they've cancelled them?

We are running Exchange 2003 on the mail server, and Windows XP on the end user machines. We are still in the process of upgrading to Office 2007, so right now we have a mix of Office 2003 and Office 2007.

We set our up by logging into the resource account through an outlook client. Once you are set as that resource, go to Tools>options>Calendar Options>Resource sheduling.

We checked Automatically Accept meeting requests and process cancellations.

Make sure when people book the resource they add it AS a resource and not just an attendee. Noone should have to log into that resource if the meetings are booked correctly. I frequently have to train people how to invite a resource as a resource and not an attendee.

That’s already been done. The meeting will show up on the resource calendar as cancelled, but it does not actually remove from the calendar. I believe this is caused by the fact that no one actually logs into the mail account, so there is no one to click the “Remove from calendar” button on the cancellation notices.

Currently running exchange 2007 and I have several resource mailboxes setup to autoaccept. The problem I’m having is that when a meeting is cancelled with a resource mailbox, the meeting stays cancelled on the calendar and is not deleted.

If anyone has a fix please post.
