There are some ways to backup emails from Gmail to PST Outlook file format and a number of tools to help you. Personally I prefer SysTools Gmail backup tool which supports backup Gmail emails and the ability to export all Gmail emails to a local hard.

If this is at work, you may have to contact your IT department and see if they shut off the viewing of pictures and links. The reason being is that they can possible infect your system when click on or when the picture is opened. So start there.

Are these two networks at the same physical location? Can you just plug all nodes into the same switch? If security is of concern you can separate them with a firewall. A separate VLAN might work as well. More info on what you’re trying accomplish would be helpful.

By archiving to a folder outside of Outlook and ensuring that Outlook is not mapped to it. If it is, then the percentage will not change.
