A new project has been assigned to me recently and I am facing a lot of contusions and difficulties ,
we have 100 branches country wide , and in each branch 3 employees must receive Automated in bounding emails from another company which maintains some machines related to each branch of ours on weekly bases informing them about the situations of these machines . However, I was suppose to do the following :
The mechanism of these emails must be like the following :
Branch #1 The same emails will be sent to :
but what is going on is that the sent emails were configured to be sent to 2 users per branch only and I think this way is not practical because I think it puts a lot of load on the router and the server and making them only send one email and somehow this email can be distributed to the three users
Any way what I was planning to do is to create some groups almost 100 group for 100 branches and I noticed this is not practical......
Then I though to create a dedicated Lotus Notes database and lotus email address to receive all these emails then distribute them using some rules created on this database .... but again I have to create something like 300 Rules to which can not be maintained and followed up by the employee who is going to be responsible to this database .
Finally, I am thinking if there a way to create a Lotus Notes database or a library or even a customized one that works like :
* All the info of the users and the branches must be added to it e.g ( user1 , branch#1 , email address: user1@branch#1.com etc.)
* When a massage is sent to ( branch#1.com ) it must be distributed to the concerned recipients ( user1@branch#1.com,user2@branch#1.com and user3@branch#1.com) .
* In case of employees internal transfers or resignations the whole database must be easy to be maintained and controlled by normal non IT users .
* 4 of the managers must be able to receive all the emails sent to central area branches
