 Lotus Notes 7.0.1: Organize incoming and sent messages by person?
How can I have my 'All by Person' view group all e-mails exchanged with the same contact despite the way they are displayed? I try to explain it a little better: 1) I receive an e-mail by John Doe 2) I write a message to j.doe@email.me With my current Lotus Notes settings, the two messages will be displayed separately, making the mail thread impossible. I would like Lotus Notes to 'understand' that the two e-mail addresses are the same and therefore display the two under the same 'All by Person' label... I hope I was aple to explain it correctly. Upgrade the server and client to version 8 or above and you can have thread emails.... this will show the whole conversation for each mail..... or Mail threads are easier to manage in Lotus Notes 7.0. For example, you can view them from the Mail Threads view. You can also display them while reading mail in the bottom pane through a new option in the Mail Preferences dialog box. Mail Preferences can also be set via policies, allowing administrators to distribute the same set of preferences to all users. These preferences may be locked down by the administrator, so end users cannot modify them. You can also sort by subject in your Inbox and other mail views. And mail archiving has been enhanced. In addition, you can now display a view-level icon within your Inbox that shows whether you are the only recipient or one of several listed in the To and/or CC fields. http://www.ibm.com/developerworks/lotus/library/notes-designer7-features/

I don’t know what view you’re referring to, as I don’t have an “All by person” view in my client. Maybe it’s something your company has added as a customization. Anyway, if it’s categorized by the person, change the formula for the category column to being categorized by the email address (which I presume is the same for incoming and outgoing). So, if it’s incoming, use the “smtporiginator” field and if it’s outgoing use the “recipients” field. You’ll need to do some tweaking to get it just right, but that’s the gist of it.
