Hi, I would like to implement a robust quota management solution in our organisation and would like to know how to approach it. We presently have quota set but they are not properly implemented accross the organisation. I would like to know how to approach the quota management concept, which people need to involved in develping the plan. Thanks in advance for all your suggestions.

Thanks. We'll let you know when a new response is added.

You need the support of someone in the organization that has the authority to establish a global policy or that has the ability to win support throughout the organiation for such a policy. In short, an executive sponsor or champion. This might be the CIO, CTO, VP or Director of IT. There also needs to be an effective plan in place for dealing with exceptions and criteria for approving and rejecting requests for additional space. Provided that such a policy is adopted, you will need the tools to enforce the policy. Last but certainly not least by any measure, the users will need to undergo awareness training, as well as receive instruction on making efficient use of storage so that they can comply with the policy.

Could you suggest any software that would help with the quota management and archiving solutions.

I personally use File Server Resource Manager in Windows 2003 Server, to implement quotas on my file server. I like it because it allows me to place quotas on individual folders, rather than being restricted to a quota by user on an entire volume/partition.

Try Enterprise Vault from Symantec or Quest has software for Archiving, I agree with LonwolfBW in using windows quotas however archiving can be a big piece of work and expensive in some respects, the more automated you go add a zero in £($). the one way to make a dent on users is usually with the standard, "We are having a clear out and any files older than six motnhs will be deleted" email, this will get you 20% of your storage back in a morning but is only a stop gap or quick win.
