External POP3 user working internally with Exchange

Hi all, I have a client with SBS2003 and Exchange. One of their part time employees uses Outlook with POP3 client since he works off-site 90% of the time. I set up his account on the Exchange so that he get his email and that works fine. The problem is that when he comes onsite, his pop does not work since he is in the building now. Is there a way for him to get his email off the Exchange using the POP? thanks

The problem might be with (internal) network permissions, rather than Exchange. I use the Thunderbird e-mail client to access my Exchange e-mail via POP remotely, since that is where I spend over 95% of my time. When I am in the office, I experience no problems with Exchange or Thunderbird.

    The issue is that when the user is external he uses an address that is public to get to the exchange server. That is set in the POP3/SMTP settings. However, when he is internal, that public address is not accessible because he is trying to get to the internal Exchange by an external address.

    Your client should be running DNS internally. Set-up a host entry for the POP3/SMTP server on the private network. Make sure the mail client is using a FQDN i.e.(mail.domain.com) for the POP3/SMTP server. Whether inside or out, the FQDN should resolve appropriately.

    Add an A record for your SMTP and POP3 servers. Let's say your POP3 and SMTP server has an FQDN of pop.yourdomain.com and smtp.yourdomain.com. Add pop and smtp as A records and point it to the internal IP address of your mail server. That should do the trick.

    Check the settings in the POP config of Outlook or Thunderbird or Outlook Express (which ever client your user is using). Then open up the cmd window and try and ping that server using the name or IP number as it appears in the client config. See of you get a response or not. If you do not, it is an issue with the IP and DNS settings. You have some very good advice already on this issue, so I will not delve there. Only I will add, that there is a very good chance that your user's machine will not have your internal DNS server set up in the TCP/IP config in the network. Make sure your internal DNS server is the first server in order of priority, so that when your user is internal his machine will look up that first. If you CAN PING the server, then you need to check whether the POP port is open. Do this by the telnet command using port 110. Check if this is accessible from the client machine internally. If it is not, check your Exchange config and your internal firewall rules etc. Hope this helps. Regards Devesh

    Problem: External POP3 user working internally with Exchange Solution Requirements (need to know): 1) Path to user's pst file 2) Internal IP address of Exchange Server 3) User's login credentials 4) POP accessibilty from the users laptop in the internal network. This can be checked by doing a ping to the internal IP address of the exchange server followed by a telnet to the port 110 (telnet IP.address.of.server 110) Solution: Considering that you use MSOutlook, you will need to create a new outlook profile utilizing his existing pst file(so that he retains access to his existing emails) for the user on his laptop . To do this, do the following- 1. Click Start, and then click Control Panel. 2. Click Switch to Classic View, and then double-click Mail. 3. In the Mail Setup dialog box, click Show Profiles. 4. On the General tab, click Prompt for a profile to be used, and then click Add. 5. In the Profile Name box, type "In-Office Profile", and then click OK. 6. In the E-mail Accounts dialog box, click Add a new e-mail account, and then click Next. 7. Click POP3 (Do NOT select MS Exchange Server), and then click Next. 8. Type your account information in the required boxes, Name, Emailaddres, POP3 - Internal IP address of Exchange Server, SMTP - Internal IP address of Exchange Server and then click Next. 9. Click Finish, and then click OK. Now, this will create the "In-Office Profile" with the default pst file. To use the user's pst file (which has all his emails), click on the just created "In-Office Profile" & click on Properties. Click DataFiles. Click Add. Select the appropriate type of the pst file. Browse & select the user's PST file. Click OK. In the Properties window, give a name to the Personal Folder (preferably "My Emails"). Click OK. Click Close. This will bring you back to the MailSetUp window. This time, Click on EmailAccounts. Select View or Change... Click Next. Click on the emailaccount which you created. In the "Deliver new mail to following location" click & select the user's pst file which you named as "My Emails". Click Finish. Thats it. Your user's Outlook is now configured.     Since the problem only occurs inside the network office boundry check to see if port 110 (pop3) or port 25 (SMTP) is being blocked by the firewall. You never mentioned if the user can send mail inside the office. If they can then it is a port problem, otherwise it's a firewall problem. You may see about setting up an IMAP configuration then all the mail is stored on the server and this might solve your problems. Let me know if you have success. Good Luck, Mark

    Thanks to all who replied. But I think the answer is with setting up DNS correctly. One piece of information I had left out and just realized is this. Though the client is using Exchange, all the email is downloaded with a POP connector. So the domain with email and web actually resides at an ISP. So the email is going to the ISP and the Exchange server downloads the email via the POP connector. Now when this particular user is off site, his POP/SMTP settings point to the Exchange server, not the ISP. He is getting his email via POP directly from the Exchange server. I set him up with an alias for the IP address which point to the Exchange IP address (this is the external IP address). So when he is internal, that address does not translate correctly. So, I just created a new DNS zone on the Exchange server with the client's alias for the Exchange server, pointing internal IP address. So we will see if this works...

    I only know of one way to do this, NOT saying there is not another way of setting it up. Just the only way I know at present 1st you?ll want to delete his current account, setup his outlook to connect though exchange as you would if that user was on site, and then once you have that setup and working add an email account using his pop setting you have now, this is a simplistic answer but it has worked for me for one client as a temporary means of solving a problem, but I am not sure what happens if the exchange portions can not connect off site.
