A supervisor in one of our departments is asking for copies of the inbound and outbound emails on that distribution list for a certain date range. I’m not a member of the distribution list so I don’t have copies of those messages. As far as I know it can’t be done. A distribution list is just that, a list. There is no mailbox set up for it, the messages hit the list and are distributed out to its members. I just wanted to see if anyone here knew of any way to do it.

You are exactly right, it is just a list, not a mailbox.
What you CAN do is use the message tracking center in exchange and look for all mail sent to that distribution list in the date range specified and only mail sent to it, since you cannot send mail FROM a distribution list. It acts as a central distribution center for inbound emails to the people who are on the list.
Of course the trracking center isn’t going to give you copies of the emails themselves. For that you would need to go into the mailbox of one of the members, if they have not permanently deleted them.
Now if he wants to receive emails sent to that list in the future, then he needs to be added to the list.

We do this kind of thing using 3rd party software - Discovery Attender from Sherpa Software. We still can’t search on the Distribution Group but we can search on multiple mailboxes and then save the results as .msg or in PSTs. DA can also search through the Dumpster which can be useful.

Be careful though that whoever has requested the information has a genuine requirmement and isn’t following any kind of personal agenda or infringing any privacy laws.
