We have an access dbase that has multiple users for data entry. without fail, we end up with several "back-up" copies. Is this the result of the different users "saving" or is it from having shortcuts on their individual laptops?

Having the shortcut will help… just think of this tagline – when there are too many cooks in the kitchen, the food is never good.

As my knowledge, regular back up is a good and healthy practice for overall protecting integrity of informations which r stored in database. And don't forget, this is the responsibility of database administrator. I am not going to say a long para ! better Link Here

Just having shortcuts on their laptops is not going to cause "back-up" copies. Certainly, the various users may be triggering making back'ups themselves. There is a hazard in this in that it becomes easy for somebody to make a backup copy of the database on Monday, then on Tuesday make addtions and changes to "their" copy of the database instead of the real database. We had a secretary who had made changes to a database for three months before we found out she was making them into a copy she had made of the database onto her desktop. You should make sure that people are creating shortcuts to the database on their desktops or wherever, rather than making separate copies of the database.
