I am working on a database where we visit a prospect 3 times and then remove the prospect for the visitation list. Is there a way to do this so that when the third visit field is entered, Access automatically removes the data or at least hides it?

Dear MeBrainHurts:

What you are needing can be made “automatic” if the third visit data has a field called something like “toarchives” and you click on yes (default would be “no”). The query that the form is based on will of course need to include the “toarchives” field and the criteria should be “like no”. I use this simple method for many of the hospital databases I have set up and it really is fairly “automatic”. Needless to say the files are not entirely gone and can be pulled up easily by copying the same query and making the criteria for the toarchives field “like yes”.
